How we run projectsAn INNCOM project, from design review to handover
Most integrators will tell you their projects go smoothly. We'd rather show you the actual process — including the checklists our technicians work from — so your ownership group, GC, and engineering team know exactly what happens when, and what we'll need from the site to keep the schedule honest. Nothing here is aspirational; this is how projects at properties like the ones in our project experience actually ran.
The sequence
Every project follows the same arc, whether it's twenty rooms or five hundred:
- Basis of design / design review — what the rooms need to do, agreed on paper first.
- Equipment selection & integration confirmation — devices matched to the HVAC, locks, and PMS actually in the building.
- Shop drawings / submittal review — the trades sign off before anything ships.
- Material release & delivery to site — sequenced against room readiness, not just lead times.
- Rough-in / infrastructure readiness — wiring, power, and network in place ahead of devices.
- Device installation — see the honest timeline note below.
- Programming, testing, and commissioning — the checklist section, room by room.
- Training, closeout documentation, and support handover — as-builts, spares turnover, and your staff trained.
- On-site and remote service support — the relationship that continues after the last room signs off.
The honest timeline answer
For a standard guestroom with rough-in complete and trades coordinated, the device-installation portion is often measured in hours, not days. The overall schedule is driven far more by what surrounds the install: whether rough-in is complete and accurate, whether fan coils and HVAC equipment are installed and operational, whether door hardware, power supplies, and the network backbone are ready, millwork and wall-finish status, and sequencing with electricians, the mechanical contractor, and the GC. Commissioning timing likewise depends on the HVAC equipment, BMS points, and third-party systems being genuinely ready at test time. We plan around those dependencies from day one instead of discovering them in week three.
Before we start: the project pre-check
This is the readiness list we run with your team before installation mobilizes:
- Local point of contact confirmed (chief engineer, GM, or PM)
- Floor plans received; room-number list received and server scripts created
- Network & data sheet completed — port allocation and IP ranges (including edge routers)
- Firewall rules and VLANs coordinated with hotel IT and vendors
- Any third-party interfaces identified (PMS, locks, BMS)
- Script files and INNCOM folders loaded onto the server
- Wiring and cable infrastructure installed; HVAC equipment installed and operational
- All thermostats installed and energized; installation schedule agreed
Commissioning: what "done" means, per room
A room isn't finished when the thermostat is on the wall. Our per-room task checklist:
- Thermostat programmed to the correct room and room type
- Operation tested end to end: fan speeds, heat call, cooling call, temperature sensor, humidity sensor, light sensor, PIR motion sensor, and digital inputs (motion, smoke, leak detection where fitted)
- Amenity testing where required (doorbell/chime, signage) and HRV testing
- Door-lock pairing and in-room operational testing
- Wiring and cabling diagrams verified accurate as installed
- All rooms online with two-way communication from thermostat to server
- PMS and door-lock servers connected to the INNcontrol server, with live check-in / check-out testing
- Workstations running and connected to the dashboard
Closeout is its own gate: in-room training with engineering, staff training on system operation and expected behaviour, spares turned over to the property, as-builts delivered, and the tracking sheet completed. That paperwork is what makes year-three service calls fast.

After handover: support that assumes staff turnover
Out-of-service rooms cost revenue, so support has to move at hotel speed. We support clients across Western and Eastern Canada — Victoria to the Yukon — through local field technicians and remote technical support, with resources based in Vancouver, Calgary, and Ontario. And because of high hotel staff turnover, our virtual support program is built to train and re-train your team: dedicated troubleshooting tooling, recommended spare parts on the shelf, and our technicians available by phone and remote access whenever the property needs a second set of eyes. Pair it with monitoring as a service and many issues are already diagnosed before anyone picks up the phone.
Frequently asked questions
Can you work around occupied floors?
Yes — renovation and phased-turnover projects are a specialty. Sequencing with housekeeping and the front office is part of the plan, not an afterthought.
Who coordinates the other trades?
We integrate with your GC's schedule and coordinate directly with electricians, mechanical, millwork, and door-hardware trades on the dependencies that affect room controls.
What do you need from hotel IT?
The pre-check covers it: port allocation, IP ranges, VLANs, and firewall rules agreed up front — we bring the requirements sheet so nothing is invented on the fly.
Do you hand over documentation?
Always: as-builts, verified wiring diagrams, the commissioning tracking sheet, and spares turnover. If you've inherited a property without them, that's a conversation we know well.
